Job Description
- Temporary

The Temporary  Online  Office Assistant helps the Assistant Dean of Online & Lifelong Learning with project management reports and administrative tasks, including budget functions of the Assistant Dean's office. Overall functions include:

  • Manages special assignments and projects in matters pertaining to the administration of the Online and Lifelong Learning Department, to include instructional design course writer contracts, processing of online adjunct onboarding, among others.
  • Coordinates and assists the Online Design Team with maintaining quality control checks in online courses and revision of course content and e-learning modules, using best practices established by ORU Online. Is competent in the use of Desire to Learn (D2L) and MS Office 365 software and familiar with Adobe Acrobat DC and apps in the Creative Cloud suite, as well as any project management software.

Duties

  • Helps the Assistant Dean of Online & Lifelong Learning with project management reports and administrative tasks. Assumes all responsibilities for the contract preparation and form generations required for course writers, following up with departmental secretaries and chairs. Responsible for the administrative operation of the department as a whole. Interacts positively regarding concerns from faculty, staff, and students, and ensures that office efficiency is not impaired. Assumes responsibility for security of all sensitive and confidential documents.
  • Monitors incoming inquiries from several email accounts, including the Online Assistant Dean's account and ORU Online account, routing queries appropriately and responding as needed. Identifies mail requiring immediate attention for the Assistant Dean and other staff. Orders, maintains and office supplies in a cost-effective manner so that supplies used do not exceed budget.
  • Coordinate online WPA with department heads, chairs, and university assessment coordinator. Assists Assistant Dean and other staff with providing coordination for the Online and Lifelong Learning Division processes and administrative staffing.

Requirements

EDUCATION:

Bachelor's degree

EXPERIENCE/ SKILLS / ABILITIES:

  • Excellent organizational and interpersonal skills a must.
  • Maintains a high level of confidentiality at all times regarding both student records and internally sensitive information.
  • Must have the ability to effectively deal with persons from a variety of cultural backgrounds. Must have the ability to learn quickly and use sound judgment regarding organizational and departmental regulations, procedures and policies.
    • Competent in the use of Desire to Learn (D2L)
    • Proficient in the use of Wrike, a project management app used to report on progress of projects to the Assistant Dean
    • Working knowledge of publisher courseware (MindTap, MyMathLab, etc).
    • Expert use of MS Office 365, OneDrive, OneNote, Adobe Acrobat DC, Zoom
    • Familiar with video authoring tools such as Camtasia.
    • Experience with using image editing software such as Snaglt, PhotoShop, etc.
    • Quick learner, self-starter with ability to work with minimal supervision in fast-paced environment.
    • Strong technical aptitude is required, excellent verbal presentation, and interpersonal communication skills.
    • Must maintain a high level of confidentiality of information.
    • Maintains compliance with the Family Educational Rights and Privacy Act (FERPA) policy and its procedures.
