Job Description
- Full Time

Provides administrative and technical support to the Academic Excellence and Institutional Effectiveness (AE/IE) office.

Duties

  • Provide administrative and technical assistance with project-based workload. Includes administrative support of the AE/ IE Office.

Student Survey Process:

  • Order and administer all student survey instruments - including NSSE, SSI, and   Proficiency   Profile.
  • Manage Student Opinion Survey process, coordinate evaluation of results.
  • Track results from various instruments.
  • Report results to various groups on-campus, as needed.

Rankings Survey:

  • Maintain a calendar of ranking submission deadlines.
  • Assist with the collection of data from ORU sources outside of AE/ IE.
  • Track results from various instruments.

Administrative Support:

  • Coordinate AE/ IE team travel and provide office support.
  • Maintain departmental schedule of events.
  • Develop academic calendar for University Chairs Council
  • Develop agenda and record minutes for University Chairs Council 
  • Event preparations (i.e. reserve rooms, prepare materials and order food when needed, arrange for needed technology).
  • Monitor deadlines for all projects.
  • Attend  seminars and training classes to stay current with changes and upgrades in software and to improve professional skills.

Student Worker Supervision:

  • Interview and hire qualified student office personnel utilizing the university systems.
  • Train student workers in departmental functions. Includes, but not limited to, mail  pick-up  and  distribution,  university-related   errands  for  departmental  staff and faculty,  filing of departmental  information,  making copies, updating/ maintaining   departmental  bulletin   board,   and  custodial  duties.
  • Assign students to tasks and provide ongoing supervision. Includes, but not limited to, produce proper paper work to grant access to GC 6th floor. (Coach and monitor students, manage timekeeping in the Kronos system.

Budgetary:

  • Manage budgetary requisitions.

Faculty Promotion/  Tenure/ Sabbatical:  

  • Assist in planning and coordinating annual Promotion / Tenure/ Sabbatical workshops for faculty applicants. Includes, but not limited to, assisting with identifying, notifying, and tracking progress of Promotion / Tenure/ Sabbatical applicants. Includes but not limited to assisting with identifying, notifying, and tracking progress of Promotion/Tenure/Sabbatical applicants.

Faculty Awards:

  • Assist with  the Faculty Awards process  in the Spring

Student Response Speaker Process:

  • Assist with the organization of the selection process of the Student Response Speaker.

Requirements

EDUCATION:

Must have a Bachelor's degree or equivalent years of experience.

EXPERIENCE/  SKILLS/ ABILITIES:

  • Must be proficient in Microsoft Office to include Word, and Excel.  Experience in other Microsoft applications is a plus.  Must be willing to learn other software applications that become available for departmental use and purposes.
  • Should have previous experience in the supervision of student workers or other staff.
  • Must have a keen eye for detail with regard to correctness and accuracy.
  • Should be a self-starter and work well both as a team member and independently.
  • Must be able to maintain organization within a busy office environment.
  • Must use excellent communication and interpersonal skills.
  • Must maintain a high level of confidentiality of information and professionalism at all times.
  • Have the ability to learn quickly and exercises good judgment regarding policies and procedures.
  • Must have the ability to exercise diplomacy when confronted with difficult questions or situations.
  • Must have the ability to handle the stress associated with meeting deadlines for multiple projects in the midst of handling interruptions.
  • Maintains confidentiality in all matters relating to student files  and operations of the Financial Aid Department as prescribed  by both the University) state) and federal requirements under FERPA.

Physical Demands

PHYSICAL AND ENVIRONMENTAL DEMANDS to include but are not limited to: sitting, standing, walking, bending,  crouching,  stooping, twisting of upper body,  and manual dexterity for operation of office machines and / or equipment. Vision to include: near, far, color, depth perception  and visual accommodation.  Occasional lifting of up 25 pounds that includes boxes of office supplies or forms is required.
